Admin Applications
Video: Account Opening Application View
If your financial institution uses our Account Opening products (Consumer and/or Business Account Opening), you can review or manage all submitted or pending applications in the Admin Platform. This article describes features of the Applications page.
To access Applications, select Applications from the top navigation bar.
In this article:
Applications List
On the Applications page, you'll find a list of all applications that have been started. You can search for specific applications by entering search characteristics like name, email, Social Security Number/Tax Identification Number, organization (business) name, application ID, or status in the box, then select Search.
In the Applications list, the following fields are available:
- Applicant – The applicant's full name
- Last Updated – The timestamp the application was last updated in the Account Opening product. The application is considered created once the applicant submits their contact information.
- Status – The state of the application. There are several possible application statuses, but the most common are listed below in Header Details.
- Type – Consumer or Business
- Alloy – The link to the full identity evaluation decision in the Alloy platform. Go to Applicant Details below to learn more.
- Funding Total – The total funding amount of all products selected during account opening
Application View
From the Applications list, select an application to view its details. A scrollable sidebar opens where you can see applicant details, accounts and funding, disclosures, and application history. Scroll down in this article for descriptions of each field.
Use the arrows on the left to easily go to the next or previous application without having to select each application individually. When finished reviewing, select the "X" on the upper left to close the sidebar.
The application detail contains the following sections.
Header Details
Across the top of the application view, quickly see the applicant name, application type, and status. Go to Application Actions for an explanation of the options available from the three dots menu that appears on the right for certain statuses.
- Applicant Name – The applicant's first and last name; for joint applications, both names display
- Application Type – To the right of the applicant name, either Business or Consumer displays
- Application State
- Creating – The applicant is in the process of filling out an application, but has not yet submitted the application. You can send an email to the applicant reminding them to continue their application—go to Application Actions for details.
- Review – The application was placed under manual review during identity decisioning and is awaiting approval or denial by your financial institution. The applicant automatically receives an email notification of this status. The email template can be edited in the Admin Platform in Institution Settings > Manual Review Template. Note: There are separate templates for business and consumer applicants.
- Funding Failed – The applicant's funding was declined. You can send an email to the applicant asking them to update their funding information—go to Application Actions for details. If the applicant updates their funding information, the application returns to the "Creating" state and then progresses through the subsequent application states. To learn more, go to Funding Failed.
- Rejected – The application was rejected during identity decisioning. The applicant automatically receives an email notification of this status. The email template can be edited in the Admin Platform in Institution Settings > Application Denied Template. Note: There are separate templates for business and consumer applicants.
- Opened – The application resulted in an opened account on the core banking system. The applicant automatically receives an email notification of this status. The email template can be edited in the Admin Platform in Institution Settings > Application Approved Template. Note: There are separate templates for business and consumer applicants.
- Docs Requested – After submitting the application, the applicant was prompted to upload their Driver's License or Passport as part of their application flow. This is a second distinct Alloy workflow that occurs after an initial evaluation in Alloy, only if your financial institution is integrated with Vouched. The Vouched workflow (recommended by Alloy), automatically approves, denies, or places the application in Manual Review (for example, if the image uploaded is blurry or the address does not match). You can send the applicant an email notifying them that documents are requested—go to Application Actions for details.
Application Details
- Date Created – The timestamp the application was initially created in the Digital Account Opening product. The application is created after the applicant submits their contact information.
- Last Updated – The date when the application was last updated. This could be the application submitted timestamp, but it may also be when the applicant returned to complete the application, but did not submit.
- Application ID – A unique ID for the application. Please always reference this ID when submitting a support ticket to Narmi.
- Membership Card (for credit unions) or Application Record (for banks) – Once the application has been submitted, you can select View PDF to view the applicant's membership card or application record, and download the file for your records. The following image is an example of a business application record.
Applicant Details (Consumer Only)
This section displays applicant information for consumer applications only.
- Name
- Phone Number
- Physical Address
- Mailing Address
- Identity Evaluation – Select View in Alloy to see the full identity evaluation decision in the Alloy Platform. For more information on Alloy and the identity decisioning process, see About Identity Decisioning.
- Identity Evaluation Tags – Criteria that the applicant met when they were evaluated in Alloy, for example: KYC DOB Match, KYC Address Match, KYC Name Match, KYC SSN Match, Phone Match
Business Details (Business Only)
This section displays for business applications only.
- Business Type – Either Corporation, General Partnership, Limited Liability Company (LLC), or Sole Proprietorship
- Phone Number
- Physical Address
- Mailing Address
- Date of organization/partnership/incorporation – For LLCs, general partnerships, or corporations
- State of organization/partnership/incorporation – For LLCs, general partnerships, or corporations
- Tax ID/EIN – The Federal Tax ID or IRS Employer Identification Number (EIN)
- Industry – Determined from the entered NAICS code—the business’ six digit North American Industry Classification System Code
- Identity evaluation – Select View in Alloy to see the full identity evaluation decision in the Alloy Platform. For more information on Alloy and the identity decisioning process, see About Identity Decisioning.
- Identity evaluation tags – Criteria that the business met when they were evaluated by Alloy, for example: Secretary of State Match, Business Name Matched, Address Matched, FEIN Found
Ownership Details (Business Only)
This section displays for business applications only.
- Name
- Phone Number
- Ownership Percentage – Percentage of ownership in the business
- Role – For applicants who are not beneficial owners
- Physical Address
- Mailing Address
- Control Person – Yes or No. A control person has the ability to control, manage, or direct the business. To comply with BSA regulation, there must be at least one control person indicated to proceed with the application.
- Authorized Signer – Yes or No. An authorized signer is legally permitted to spend or commit monies on behalf of the business.
- Identity Evaluation – Select View in Alloy to see the full identity evaluation decision in the Alloy Platform. For more information on Alloy and the identity decisioning process, see About Identity Decisioning.
- Identity Evaluation Tags – Criteria that the beneficial owner or authorized signer met when they were evaluated in Alloy, for example: KYB DOB Match, KYC Address Match, KYC Name Match, KYC SSN Match, Phone Match
Additional Ownership Details (Business Only)
This section includes the same fields as the Ownership Details section above. This displays only if additional beneficial owners or authorized signers were added by the business applicant.
Accounts and Funding
- Funding Account – The method and account used for funding, for example "Card XXXX4747"
- Account Number – The account number that is generated on the core banking system. This only displays if the application is in the “Opened” or “Opening Failed” states. The “Opening Failed” state can still result in account numbers if an error occurred during the opening of the account on the core. For more information, go to Core Banking System Outages or Errors.
- Product (Savings, Checking, etc.) – The amount of initial funding allocated to the selected product
- Courtesy Pay – If "Yes," the applicant opted in to Courtesy Pay (for institutions that have it enabled)
- Debit Card – If the applicant requested a debit card, this field shows “Created for [account number].” If the applicant did not request a debit card, the value will be “None Requested.”
- Referral Code – If the applicant applies with a referral code, it will appear here, otherwise "None" shows.
Account Activity
This section displays answers to the customer due diligence questions in the user's application. You can configure these yes/no questions in the Admin Platform under Institution Settings > Customer Due Diligence Consumer Questions or Customer Due Diligence Business Questions.
Metadata
This section displays relevant metadata for a user’s application, depending on the institution.
- Debit Card Status – Either “Created for [account number],” “None Requested,” or “Requested but no eligible accounts.”
- applicantYesNoResponses – Applicant responses to eligibility questions
Disclosures
If "Accepted," the applicant accepted the Terms & Conditions disclosure while opening an account. This is the record of the applicant accepting the terms, which includes the timestamp of when the disclosures were accepted.
Documents (Business Only)
For businesses, applicants are required to upload business documents. Select a document link to open the file.
Documents uploaded depend on the business type:
- LLC – Articles of Organization, EIN Verification Letter (optional)
- General Partnership – Business Registration
- Corporation – Business Registration
- Sole Proprietor (DBA) – DBA Certificate
- Sole Proprietor (not a DBA) – No documents
Application History
Application status history (for example, opened, funded, reviewing, etc.) with timestamps.
Application Actions
For certain application states, three dots appear on the upper right of the application view. Select these dots to access additional options pertaining to the application state.
Possible actions are:
- Send Continuation Email – If the application state is "Creating," select Send continuation email to send an email to the applicant reminding them to continue their application. This email template can be edited in the Admin Platform in Institution Settings > BAO Continuation Email Template for businesses or CAO Continuation Email Template for consumers.
- Send Docs Requested Email – If the application state is "Docs requested," select Send docs requested email to send an email to the applicant notifying them that documents are requested. This email provides a link that will take the user to the application flow where they upload documents. This email template can be edited in the Admin Platform in Institution Settings > Documents Requested Template. Note: There are separate templates for business and consumer applicants.
- Send Retry Funding Email – If the application state is "Funding failed," select Send retry funding email to send an email to the applicant containing a link allowing them to retry with a new funding source. This email template can be edited in the Admin Platform in Institution Settings > Funding Failed Template. Note: There are separate templates for business and consumer applicants.
- Update Application Info – Your staff users with proper permissions may want to edit the application, for instance, if an applicant made a mistake when entering their information or your institution would otherwise approve an application if it didn’t contain a selected product. You can only edit applications with a state of "Submitted," "Review," "Docs Requested," or "Docs in Review." Upon selecting Update application info, a page appears for you to manually update the following information:
- First Name
- Last Name
- Phone Number
- Address
- Date of Birth
- Social Security Number/Tax ID
- Occupation (Consumer only)
- Organization Details (Business only)
- Ownership Details (Business only)
- Documents (Business only)
- Account Selection – Select the trash can icon to remove the product. Products can only be removed, not added.
No other fields can be updated. For example, a product cannot be added nor can the funding amount for a product be changed. Select Update Application to submit changes.
Application changes are logged in the Staff Audit Log report.
When you edit an application, it returns to the "Submitted" state and a new Alloy evaluation is created.
Update Application State – Manually change the application status after conducting a review. Note: Changing the application status should only be done if previous errors have been corrected. Select one of the available status options and then select Update Application State.
Available states for change:
- Approved – This option is available for applications in the “Docs in Review,” “Docs requested” or “Review” states. Change to “Approved” if you want to mark the application as approved and have it proceed to funding.
- Canceled – This option is available for applications in the “Creating” state. Change to “Canceled” if you want to mark the application as canceled. For example, you may want to cancel the application if a user no longer wants to complete it, if they started the application with an incorrect email address, or if the application has been in "Creating" state for several months.
- Funded – This option is available for applications in the “Funding failed” or “Funding unknown” states. Change to “Funded” if the application was successfully funded or did not require funding.
- Opened – This option is available for applications in the “Opening” or “Opening failed” states. Change to “Opened” only if you manually opened the account on your core, as this action will only cause the successful application email to be sent, and does not actually open the account on the core.
- Rejected – This option is available for applications in one of the following states: “Docs in Review,” “Docs Requested,” “Funding failed,” “Funding unknown,” ”Opened,” “Opening,” “Opening failed,” “Review,” ”Submitted,” or “Submitted preapproved.” Change to “Rejected” if you want to mark the application as rejected. This action will only cause the rejected application email to be sent, and does not execute any action on the core.
- Retry funding – This option is available for applications in the “Approved,” “Funding failed,” or “Funding unknown,” states. Change to "Retry funding" to initiate another ACH or card transaction for the application. If successful, it retries opening the account on the core.
- Retry opening on core – This option is available for applications in the “Opening,” “Opening failed” or “Funded” states. Change to “Retry opening on core” only if you are sure that no records for this applicant have been created on the core yet, and you want to re-run the application open process. If the retry is successful, the application will automatically move to the “Opened” state.
- Review – This option is available for applications in the “Submitted" or “Submitted preapproved” states. This triggers a new Alloy evaluation (unless the applicant is already an existing Digital Banking user).
